How to collect webinar registrations and get every attendee the joining link
The registration page is where you persuade; the webinar platform is where people join. Keep them in their own roles. Put the page and form on your own site, send each registration by webhook to the tool that runs the session (or to a sheet you import from), and let that tool send the joining link and reminders, since Anticode doesn't email attendees.
Why register on your own page at all
Webinar platforms have their own registration pages, and for a one-off internal session they're fine. Your own page is worth it when the webinar is marketing: it sits on your domain, matches your brand, can be found by search engines and AI assistants, says exactly what attendees will learn, and keeps the registrant list in a place you control. The trade-off is one extra link in the chain to set up and test.
Pick the form
| Form | Fields | Use when |
|---|---|---|
| Newsletter form | Email only | You only need an address and will ask for nothing else |
| Contact form | Name, email, message | You want a name, and a question for the speaker in the message |
| Custom form with a site function | Up to 30 plain-text fields | You need company, role or a specific question as separate fields |
Most webinar platforms need a name and an email to register someone. Ask for those, plus at most one question that helps you prepare, such as "What would you like us to cover?". Each extra field costs registrations.
Wire it up
- Create the session in your webinar tool and note how it accepts registrants from elsewhere: many accept them through Zapier, Make or n8n.
- Build the webinar registration page. Ask Anticode for "a webinar registration page for a 45-minute session on preparing a small business for its first audit, Thursday 20 November at 13:00 UK time, with the speaker, three things you'll learn and a sign-up form".
- Add a webhook in Connectors pointing at a "catch webhook" trigger in your automation tool. Each submission arrives as a POST with the event, the site, the form, the fields and the time submitted, usually within a minute.
- Map the fields in the automation: name and email into the webinar tool's "add registrant" step. The webinar tool then sends its own confirmation with the joining link.
- Also log to a sheet, with the Google Sheets connector or a second automation step, so you have a list independent of the webinar tool.
- Register yourself from the live page with a fresh address and check you receive the joining link.
- Set reminders in the webinar tool, typically a day and an hour before.
If you'd rather not automate, use the Sheets connector alone and import the list into the webinar tool before the session, or send the joining link to the list yourself. That only works if you say on the page when the link will arrive.
What goes wrong
- Registrants never got the link
- The automation failed or the webhook was down. Anticode sends each submission once, without retries, so compare the project's saved submissions with the webinar tool's registrants the day before and add any missing ones.
- Connectors catch other forms too
- Connectors belong to the account or Team workspace, so the webhook receives every site's forms. Filter on the site and form in the automation.
- The time zone confuses people
- Write the time with its zone on the page, and let the webinar tool's invite handle conversion.
- Half the registrants don't show
- Common for free webinars. Send a recording afterwards from your email tool; it's often watched more than the live session.
How you know it worked
The count of saved submissions in the project, the rows in your sheet and the registrants in the webinar tool agree. Your own test registration produced a joining link within minutes. On the day, attendees join from the link without writing to ask for it.
Limits
Anticode builds the page, saves registrations sealed at rest and passes them on. It doesn't host webinars, embed a player or a platform's own form (pages run no outside scripts), email joining links or reminders, or count attendance. See the webinar registration page builder, webhooks and what a webhook is.
Questions people ask
Can Anticode send the webinar joining link?
No. Registrations reach your webinar tool through a webhook and automation, and that tool sends the link and reminders.
What's the least work way to collect webinar registrations?
A page with the contact or newsletter form, the Google Sheets connector, and the list imported into your webinar tool before the day.
Can I embed the webinar platform's registration form?
No. Published pages can't embed outside forms or scripts. Use your own form and pass the data on, or link to the platform's page.
